Position Title: Branch Administrator

Role Purpose:

The primary objective of this role is to deliver exceptional customer service while managing phone inquiries and welcoming visitors, along with executing general clerical tasks in accordance with established protocols.

Key Responsibilities:

  • Manage invoice processing for direct order billings.
  • Handle all customer returns for the branch.
  • Coordinate and schedule appointments, meetings, and events as necessary.
  • Direct telephone inquiries to the appropriate personnel and provide general information to clients and the public.
  • Prepare documents for management using Word and Excel.
  • Offer administrative support to senior management.
  • Collaborate with vendors to address shortages and delivery issues.
  • Expedite purchase orders and maintain delivery records.
  • Assist with daily invoicing and scanning of pick tickets.
  • Verify and reconcile cash sales transactions.
  • Process non-stock and defective returns to vendors promptly.
  • Issue credits and rebills to customers as needed.
  • Manage tax corrections.
  • Provide backup support for branch purchasing tasks.
  • Support the switchboard receptionist as needed.
  • Welcome and assist incoming customers, vendors, and other visitors.
  • Perform additional duties as assigned.

Preferred Qualifications:

  • A university degree, college diploma, or equivalent experience is considered an asset.
  • Strong time management and organizational skills.
  • High attention to detail and accuracy.
  • Excellent verbal and written communication skills.
  • Ability to work under pressure and manage customer requests effectively.
  • Strong prioritization skills to meet deadlines.
  • Enthusiastic and enjoys working in a busy office environment with minimal supervision.
  • Proven data entry, editing, and typing abilities.
  • Familiarity with ordering supplies, equipment, and inventory control.
