Position Overview

Under the guidance of the Learning Support Coordinator, the Educational Support Specialist (ESS) collaborates both independently and as part of a dedicated team of educators, colleagues, and community stakeholders to deliver comprehensive assistance primarily within the English Help Centre, while overseeing the operations of a computer-based learning lab and assessment center.

The ESS serves as a vital point of contact for prospective, new, and returning students, whose literacy levels range from foundational to advanced, and whose mathematical proficiency varies widely, alongside diverse computer skill levels.

The role involves providing support and information regarding academic programs, course offerings, assessments, student services, and institutional policies; striving to resolve inquiries, address concerns, and when necessary, directing individuals to appropriate community and institutional resources.

These responsibilities are carried out in a dynamic, often high-traffic, student-focused educational environment.

The Educational Support Specialist embodies the values of Camosun College, representing the Student Access Services Department and the Access English Department, while fostering a constructive learning atmosphere for all students.



Key Responsibilities

  • Facilitates leadership and support for a diverse student population by reinforcing program goals and individual learning objectives, addressing student inquiries, and providing guidance while adapting to various instructional styles and evolving curricula;
  • Responds to a broad spectrum of student questions in-person, verbally, or in writing, offering information, advice, and direction, and when necessary, referring students to the appropriate department or external resources, utilizing strong interpersonal skills, active listening, empathy, and clear communication;
  • Collaborates with instructors to identify students with learning challenges or those experiencing significant anxiety, ensuring consistent communication and information exchange between educators and support staff;
  • Administers assessments, including invigilating, providing clear instructions, performing evaluations, and maintaining secure and updated test materials;
  • Assesses student readiness for testing and progression by confirming academic progress and, if needed, communicating with instructors;
  • Assists instructors in facilitating learning center activities and provides administrative support in creating and updating educational resources and materials;
  • Tutors students in English up to the Provincial level under instructor supervision, reinforcing concepts as necessary and updating students on missed content;
  • Introduces and guides students through the various learning materials available in the center.

This includes but is not limited to:
course materials for English, technical guides, resume writing resources, style manuals, GED preparation, videos, novels, online learning platforms, and websites;

  • Instructs students on utilizing computers within a networked environment.

This includes detailing the operation of hardware:
CPU, monitor, keyboard, printer, mouse; and the use of current software applications, including Email, English Tutorials, and Typing Tutorials;

  • Guides students in conducting research for academic projects, including source evaluation and information extraction from the internet, while referring students to the library or other college resources as necessary;
  • Provides basic troubleshooting for various computer hardware and software issues, such as resetting equipment and print queues, and reporting necessary repairs;
  • Establishes procedures for student use of the learning center and monitors usage patterns, addressing inappropriate computer use and referring issues to security when necessary;
  • Supports students through the registration process by providing detailed information on courses, program locations, prerequisites, and institutional registration procedures;
  • Engages in student enrollment management by following up with current students regarding attendance and waitlists;
  • Maintains and organizes the learning center, ensuring a variety of resources are cataloged and accessible to students, while monitoring overdue materials;
  • Manages student requests for library materials;
  • Ensures the learning center is well-maintained and organized to create a positive educational environment;
  • Maintains secure records of assessments and student attendance, forwarding information to instructors upon request;
  • Monitors inventory of office and educational supplies, reordering as necessary;
  • Trains new staff and provides orientation for new instructors;
  • Assists students in developing and updating Personal Learning Plans (PLPs) and makes appropriate referrals;
  • Participates in recruitment and marketing initiatives by providing information sessions and addressing inquiries from prospective students;
  • Organizes administrative arrangements for workshops and presentations for student groups;
  • Responds to student crisis situations with appropriate intervention strategies and contacts security or emergency services when necessary;
  • Performs other related duties as required.

Qualifications
  • Bachelor's degree with a focus on English or linguistics, along with two years of recent experience tutoring adult learners in English at advanced levels in a post-secondary setting, or an equivalent combination of education and experience.
  • Advanced knowledge and skills in personal computing and software applications, including the MS Office suite, along with basic technical troubleshooting abilities in a networked learning environment.
  • Demonstrated ability to work effectively with adults facing learning challenges and sensitivity towards learners with diverse needs.
  • Excellent communication skills, both verbal and written, demonstrating tact, discretion, and sensitivity to a diverse student body.
  • Strong time-management, multi-tasking, and organizational skills, with the ability to work independently and collaboratively as part of a team.
  • Knowledge of college structure, resources, and services available to support students.
  • Exceptional attention to detail.
