Position Overview

NAKANO SMITH is seeking a dedicated Administrative Assistant to provide essential support within our organization. This role is pivotal in ensuring smooth operations and effective communication across various departments.

Qualifications
  • Education: Completion of a college, CEGEP, or other non-university certificate or diploma program lasting 1 to 2 years, or equivalent experience.
  • Languages: Proficiency in Japanese is considered an asset.
Work Environment

The successful candidate will work in a dynamic law firm setting, contributing to a collaborative team atmosphere.

Key Responsibilities
  • Organize and coordinate seminars, conferences, and other events.
  • Facilitate the flow of information within the team.
  • Manage incoming mail and other correspondence.
  • Plan and oversee daily operational tasks.
  • Document and prepare minutes for meetings and conferences.
  • Schedule and confirm appointments efficiently.
  • Handle telephone inquiries and relay messages appropriately.
  • Respond to electronic inquiries in a timely manner.
  • Order and maintain office supplies and inventory.
  • Welcome visitors and direct them to the appropriate contacts.
  • Establish and maintain both manual and computerized filing systems.
  • Type and proofread various documents and correspondence.
  • Conduct data entry tasks accurately.
  • Provide exceptional customer service to clients.
  • Maintain and manage digital databases effectively.
  • Perform basic bookkeeping duties as required.
Technical Skills

The ideal candidate should possess knowledge of:
