Job Overview:

The Client Relations Specialist plays a crucial role in delivering outstanding service to our clients. This position involves managing interactions with customers and insurance providers while offering comprehensive administrative assistance to the Repair Facility Team.

Key Responsibilities:

  1. Implement the WOW (Wow Operating Way) strategy consistently.
  2. Coordinate vehicle repair appointments utilizing the Daily Demand Capacity Planner, ASE scheduling, and appropriate communication protocols.
  3. Ensure prompt acquisition of insurance assignments and secure necessary repair authorization documentation to initiate vehicle disassembly for repairs.
  4. Compile the RO (repair order) work packet, which includes a QC (quality control) checklist, work order, parts inventory, and windshield tag for accurate tracking.
  5. Document all interactions with customers or insurance representatives throughout the repair process using ASE notes and selecting the correct communication method.
  6. Verify car rental details and update ASE with information regarding rental vehicle usage.
  7. Oversee the ARMS (automated rental management system) daily to ensure all vehicles listed in ARMS are also recorded in ASE.

Qualifications:

  1. High School Diploma or GED (General Education Diploma) is required.
  2. Minimum of 1 year of experience in a similar administrative role.
  3. Preferred: 1 year of experience in an auto body or related environment, including prior customer service experience.

Essential Skills:

  1. Ability to thrive in a fast-paced setting, showcasing multitasking skills under pressure.
  2. Strong attention to detail with a commitment to accuracy.
  3. Familiarity with general office equipment and basic computer proficiency, along with excellent verbal and written communication skills, a strong sales orientation, and exceptional customer service capabilities.

Additional Requirements:

  1. Possession of a valid driver's license.
