Job Responsibilities

The Executive Assistant is responsible for supporting their assigned Partner(s) by:

  • Administering action items after year-end meetings;
  • Coordinating roll-forward tasks;
  • Setting up jobs in practice management system;
  • Updating client records;
  • Drafting invoices for approval and issue to client;
  • Reviewing and preparing engagement letters;
  • Reviewing and updating year-end letters;
  • Coordinating clients needing to make corporate tax, HST, or other payments;
  • Scheduling meetings and taking minutes when appropriate;
  • Proactively tracking down client files that have not yet been submitted;
  • Monitoring jobs and following up to completion;
  • Monitoring efiling of all key jobs (T1s, T2s, T1135, other) to meet deadlines;
  • Proofreading letters/emails;
  • Planning team/training events;
  • Pulling files and searching archives for historical data;
  • Issuing documents and forms for electronic signature;
  • Following up with lawyers on draft/final legal documents;
  • Requesting investment info from advisors;
  • Reviewing team workflow; missed/upcoming deadlines;
  • Pulling and securely sending information to clients/advisors from CRA online.
