Job Title: Exhibits Specialist – Hybrid

Are you a detail-oriented and organized individual with excellent communication skills? Do you have experience in meeting planning and trade show sales? We are seeking an Exhibits Specialist to join our team at the Ontario Dental Association.

About the Role:

The Exhibits Specialist will be responsible for managing the trade show sales and implementation cycle for our signature event, the Annual Spring Meeting Dental Conference and Trade Show. This includes planning, selling, and securing exhibit booth agreements, developing and implementing retention and acquisition strategies for exhibitors, and ensuring the accuracy of content and materials on exhibitor pages of the ASM website.

Key Responsibilities:
  • Plan, sell, and secure exhibit booth agreements in accordance with annual revenue goals
  • Develop and implement retention and acquisition strategies for exhibitors
  • Develop the exhibitor prospectus, working closely with colleagues in creative and graphic design, communications, and events
  • Ensure the accuracy of content and materials on exhibitor pages of the ASM website
  • Effectively communicate and enforce booth display standards, provide show logistics assistance, and handle general exhibitor inquiries
  • Liaise with the general show services contractor and venue on all logistical and operational aspects
  • Supervise the trade show floor during pre-show, move-in, show days, and move-out to ensure a positive exhibitor and attendee experience
  • Assist the Conference and Events Director with budget development and monitoring for the ASM
Requirements:
  • Post-secondary education with a college diploma in a related discipline or equivalent combination of experience and education
  • Minimum 5 years in meeting planning, including trade show/exhibitor sales and service experience
  • Demonstrated track record of identifying, cultivating, and serving customers
  • Demonstrated experience in creating and managing a significant budget
  • Experience in contracting and managing third-party vendors
  • Excellent knowledge of MS Word, Excel, PowerPoint, and contact management database programs
  • Experience in the dental or medical product and service industry an asset
  • Experience in creating event marketing and promotional materials is an asset
  • Experience in EXPOCAD or other similar exhibitor management software is an asset
