About the Role:
The Global Corporate Events Coordinator will provide administrative and project support to the Global Corporate Events team, as well as assist in the development and coordination of events to promote the IMAX brand and IMAX movies.
Key Responsibilities:
- Provide full administrative support, including developing agendas, preparing expense reports, and other administrative tasks and responsibilities.
- Arrange travel itineraries and book travel as required.
- Coordinate and schedule conference calls, department meetings, group outings, retreats, and other events, including working with vendors and sending out reminders.
- Provide support and assistance for meetings, screenings, special events, conferences, and other events.
- Support the Global Corporate Events team through various projects, including brainstorming and researching event marketing, promotional opportunities, vendors, concepts, and promotional merchandise.
- Assist the team with the development and execution of internal and external events, contributing to the conception and development of event materials and organizing information for post-event recaps.
- Provide full pre- and post-event support, including organizing event RSVPs, creating sales conference packets, creating and updating checklists and playbooks, managing promo item and client gift inventory, and tracking and maintaining event budgets.
- Research and source restaurants, hotels, and meeting venues and update the database.
- Assist with packing and shipping for conferences and events.
- Attend event and meeting industry conferences, meetings, and tradeshows.
- Maintain and update contact lists and office supplies.
- Staff screenings and other company events as needed.
Requirements:
- Bachelor's degree in a related discipline preferred.
- 2+ years of experience in an administrative or event planning capacity.
- Valid passport and a willingness to travel, as some travel to the US may be required.
- Must have a valid driver's license and reliable transportation.
- Stellar communication and customer-focused interpersonal skills, with the ability to interact professionally with members at all levels of the organization, the press, and other external clients.
- Exceptional organizational and time management skills, with proven ability to organize, prioritize, and successfully manage multiple and shifting priorities, projects, and deadlines.
- Passion for movies and events, with a familiarity with overall entertainment industry and marketing trends.
- Must be comfortable working in a fast-paced, dynamic environment.
- Creative and proactive team player with the ability to engage and motivate others.
- Tech-savvy, with proficiency in MS Word, Outlook, Excel, and PowerPoint.
- Willingness to work outside of usual business hours, including evenings and some weekends.
