About the Role

The Workplace Services Coordinator is a key member of the Veeva Systems team, responsible for coordinating workplace and facilities programs and services for our Toronto office. This individual must be detail-oriented, have strong customer service values, excellent time management skills, and the ability to work in a dynamic environment.

Key Responsibilities

  • Demonstrate exceptional customer service to guests and Veeva employees concerning office-related requests.
  • Provide a positive first impression to clients, partners, potential employees, and Veevans, acting as an ambassador for the company.
  • Coordinate vendor relationships and manage inventory, ordering supplies, and budget tracking.
  • Manage daily operations, including facilities and building maintenance requests, security access key cards, mail/shipping, and other administrative tasks.
  • Coordinate special events, such as team building, networking, and social events.
  • Project coordinate, track, and execute initiatives to support the team's goals.

Requirements

  • 3+ years of experience in office administration or office/services coordination.
  • Excellent customer service skills and communication/interpersonal skills.
  • Strong verbal communication and organization skills.
  • Able to juggle multiple tasks with efficiency and accuracy.
  • Self-starter with a positive, can-do attitude.
  • Ability to adjust to changing environments.
  • Intermediate to advanced knowledge of MS Office (Word, Excel, PPT) and general computer skills.
  • Ability to lift up to 25 lbs.

Nice to Have

  • Preferred: Post-secondary education.
  • Experience in events and customer service.
  • Experience in vendor/accounts management.
  • Deep understanding of Google applications.
  • Health and safety knowledge; JHSC, First Aid, Fire Warden.
  • Experience in a tech company.

Compensation

  • Base pay: $45,000 - $75,000 CAD
  • The salary range listed here has been provided to comply with local regulations and represents a potential base salary range for this role. Please note that actual salaries may vary within the range above or below, depending on experience and location. We look at compensation for each individual and base our offer on your unique qualifications, experience, and expected contributions. This position may also be eligible for other types of compensation in addition to base salary, such as variable bonus and/or stock bonus.
