Job Summary

We are seeking a highly organized and detail-oriented Program Coordinator to provide administrative support to the Faculty of Education and Social Work at Thompson Rivers University.

Key Responsibilities
  1. Administrative Support: Provide day-to-day administrative support to the faculty, including organizing and coordinating workflow, determining priorities, and resolving problems.
  2. Process Improvement: Design, implement, and monitor systems and processes to increase efficiency and productivity.
  3. Student Support: Provide administrative and logistical support to students, including receiving and directing inquiries, creating and maintaining student files, and pulling reports from university databases.
  4. Office Management: Manage office supplies, set up and manage office equipment, and perform other administrative duties as required.
  5. Event Planning: Plan and organize meetings, events, and conferences, including catering and logistics.
  6. Communication: Communicate effectively with students, staff, and faculty, both verbally and in writing.
  7. Confidentiality: Maintain confidentiality and handle sensitive information with discretion.
  8. Technology: Set up and use various types of video and audio conference systems, and troubleshoot technical issues as needed.
  9. Database Management: Manage the Field Education Database, including evaluating and tracking practica and field data, and creating reports.
  10. Financial Management: Assist with processing expenses and maintaining financial records, including generating web requisitions.
  11. SharePoint and Moodle Management: Design and maintain designated program's SharePoint and Moodle sites, and other platforms.
Qualifications
  • Education: Grade 12, plus six months post-secondary courses, including Advanced Word, Intermediate Excel, and Intermediate Access, or equivalent.
  • Experience: Two years related experience, including one year of electronic data entry and word processing, and six months of assisting with report preparation and coordination of site visits.
  • Skills: Advanced level in Microsoft Word, Intermediate level in Excel, and working with databases; ability to perform electronic word processing at 60 wpm and data entry; ability to take and transcribe minutes and correspondence at 70 verbal wpm; ability to set up and use various types of video and audio conference systems; experience in using Moodle, DCU, Banner, Argos, SharePoint, and other university information management systems.
