Overview:

The Law Society of Alberta is dedicated to overseeing the legal profession in the public interest.

In line with the Society's vision and strategic objectives, the Membership division offers support for application processing and addresses inquiries regarding membership status, indemnity modifications, and renewals. This division is tasked with managing membership applications, status alterations, interjurisdictional member transfers in accordance with the Labour Mobility Act (LMA), and overseeing Professional Corporations and Limited Liability Partnerships. Additionally, the department administers the Law Society Admission Program for Students-at-Law, ensuring adherence to the Fair Registration Practice Act (FRPA).

Key Responsibilities:

  • Facilitate a proactive and consistent approach to the Membership division's transactions, policies, and procedures, including coaching and training Membership Services Representatives.
  • Make informed decisions that align with business needs and processes.
  • Develop project documentation and timelines, draft testing scripts, and implement process improvements.
  • Coordinate project timelines and ensure deadlines are met.
  • Establish and maintain professional relationships with Law Society staff and stakeholders.
  • Assist with Membership transactions, including processes for Students-at-Law.
  • Collaborate with staff across the Law Society to create project guides for billing processes.
  • Support timelines for core billing activities.
  • Train Membership Services Representatives on billing procedures.
  • Oversee the effective processing of various applications to facilitate core billing.
  • Support annual membership, Professional Corporation, and liability insurance renewals.
  • Engage in discussions regarding key membership transactions and their impact on billing processes.
  • Generate departmental reports as necessary.
  • Ensure website information is accurate and up-to-date.
  • Work with Communications and stakeholders to develop timely communications regarding billing and FAQs.
  • Issue membership cards and contribute to technological and process enhancements.
  • Maintain professional relationships with Law Society staff and stakeholders.
  • Contribute to the development of customer service models to enhance billing processes and support the transition to e-commerce.
  • Act as a liaison for Information Management projects and implement related policies.
  • Participate in departmental project work.
  • Perform other assigned tasks as needed.

Qualifications:

  • At least 5 years of relevant administrative experience in progressively responsible roles.
  • Experience in membership services is a significant advantage.
  • Strong communication skills (listening, written, and verbal), along with time management and interpersonal skills.
  • Experience managing large volumes of documents, both paper and electronic.
  • Advanced problem-solving and troubleshooting abilities.
  • Strong organizational and team-building skills, with a proven ability to act as a trusted expert.
  • Ability to multitask in a fast-paced environment and work independently while contributing to a team.
  • Flexible and adaptable, capable of working under pressure and meeting fixed deadlines.
  • Intermediate proficiency in Microsoft Office (Word, Excel, Outlook), SharePoint, and internet resources.
  • Familiarity with membership and accounting databases.
  • Self-motivated, able to work independently with minimal supervision.
  • Willingness to work overtime during peak periods as necessary.
  • Exceptional customer service skills.
  • Enthusiasm for process improvement and change management.
  • Understanding of the Law Society's regulatory responsibilities.
  • Experience in an e-commerce setting is beneficial.
