Job Summary:

We are seeking a highly skilled and experienced Internal Operations Coordinator to join our team at Performance Auto Group. As an Internal Operations Coordinator, you will play a critical role in ensuring the smooth operation of our internal processes and procedures.

Key Responsibilities:

  • Coordinate and manage internal work orders and sublets to ensure timely and accurate completion.
  • Oversee the billing process to ensure accurate and timely charging of services.
  • Collaborate with internal companies and third-party appraisers to obtain approvals and ensure compliance with company policies.
  • Issue internal and warranty repair orders, and ensure all required vehicle parts are ordered in a timely manner.
  • Organize the workflow of internal service vehicles through the shop, and present estimates of work required on used vehicle reconditions.
  • Manage e-testing and sublet work on internal vehicles, and open work orders on all new and used vehicles.
  • Track new car deliveries between the Sales, Service, and Clean-up departments, and ensure all vehicles undergo a complete reconditioning process.
  • Confirm that all damages have been approved before starting repairs, and make decisions on how vehicles will be repaired in accordance with company policies and procedures.
  • Assist the Service Manager as needed, and complete safety checks for used vehicles within the dealership.
  • Comply with all company policies, standards, and procedures, and perform other duties as required by management.

Requirements:

  • High School Diploma or GED required.
  • Minimum 1 year of automotive experience or equivalent.
  • CDK Dealer software experience an asset.
  • Basic knowledge of mechanical repairs and terminology.
  • Strong customer service and troubleshooting skills.
  • Ability to work well under pressure, and strong attention to detail and accuracy.
  • Ability to deal with people tactfully, diplomatically, and professionally at all times.
  • Proven data entry and typing skills, and experience in all aspects of customer service.
  • Highly flexible, with solid interpersonal skills that allow one to work effectively in a changing, fast-paced working environment.
  • Ability to effectively communicate both verbally and in writing, and strong work ethic and positive team attitude.
  • Ability to read and comprehend instructions and information, and work flexible hours and around a changing schedule.
