Position Overview
The Project Coordinator (PC) serves as the primary liaison for property owners throughout the project lifecycle. The PC is tasked with managing the scheduling, coordination, and financial aspects of each project, ensuring adherence to high standards of quality and service in alignment with the compliance and protocol standards set forth by insurance companies.
Key Responsibilities include, but are not limited to:
- Developing and maintaining project budgets
- Serving as the main point of contact for property owners
- Creating project schedules and coordinating with subcontractors and in-house carpenters
- Issuing Purchase Orders to subcontractors and in-house teams
- Collaborating with the Site Supervisor to oversee project execution and deliverables
- Managing billing, invoicing, and project closure efficiently
- Communicating project status updates to Adjusters, Brokers, Clients, Project Teams, and Management as necessary
- Providing weekly updates and meeting summaries for key projects
- Addressing and relaying client requests or concerns regarding quality, service levels, and subcontractor performance
- Ensuring all documentation is complete and organized, including Purchase Orders and Change Orders
- Collecting Client deductibles, Work Authorizations, and Certificates of Completion
- Tracking and following up on all Accounts Receivable until resolution
- Understanding and applying compliance protocols from insurance companies to meet Service Level Agreements (SLAs)
- Ensuring proper documentation and processes are followed for private work, including Work Authorization and progress billing
- Participating in bimonthly project team meetings to forecast current and upcoming project statuses
- Submitting project and financial reports to management
- Maintaining control over policy and warranty accounts
- Updating Xactanalysis notes on a daily basis
- Utilizing Xactimate and Xactanalysis software for project management
- Creating sketches and scopes using Xactimate
- Staying informed about market pricing for materials, supplies, and labor
- Identifying and evaluating new subcontractors that meet company standards
