Job Summary

We are seeking a highly skilled and experienced Executive Assistant to provide administrative support to the Chief of Staff/Executive Vice President, Medical & Academic Affairs. The successful candidate will be responsible for coordinating a range of administrative tasks, facilitating resolution of problems, and providing administrative support to the Medical Advisory Committee and other meetings.

Key Responsibilities
  • Administrative Support: Provide administrative support to the Chief of Staff/Executive Vice President, Medical & Academic Affairs, including coordinating meetings, managing schedules, and preparing presentations and briefing notes.
  • Communication: Act as the first point of contact for internal and external contacts, respond to issues, and de-escalate complaints using tact, discretion, and sensitivity.
  • Research and Analysis: Conduct secondary research and link with external partners and experts to obtain information and tools to support the work of the Chief of Staff.
  • Meeting Coordination: Coordinate and support meeting logistics, including booking rooms, catering, and preparing agendas and meeting materials.
  • Minute Taking: Take minutes of the Medical Advisory Committee, Chiefs meeting, and other meetings where the Chief of Staff is chairing.
  • Administrative Support to Director of Medical Affairs: Provide administrative support to the Director of Medical Affairs, as needed, including scheduling meetings and providing administrative support.
Qualifications
  • Experience: Minimum 5 years' work experience in a Senior Administrative Assistant position.
  • Communication Skills: Excellent oral and written communication skills and ability to interact with Executive Team, Physician Leadership, and staff throughout the organization.
  • Organizational Skills: Superior organizational skills with the ability to prioritize and efficiently manage multiple assignments.
  • Teamwork: Ability to work within a strong cohesive team structure and demonstrate Osler Values of Respect, Excellence, Service, Compassion, Innovation, and Collaboration.
Additional Information

This is a Hybrid role that requires essential, regular onsite weekly work. The successful candidate will be required to work in a fast-paced environment and be open to constant challenge and change.
