Position Overview

The Office Management Specialist will oversee daily operations within a medical clinic environment, ensuring efficient workflow and high-quality service delivery.

Qualifications
  • Education: Completion of a college or CEGEP program, or a non-university diploma lasting 1 to 2 years.
  • Experience: A minimum of 1 year and up to 2 years of relevant experience, or equivalent qualifications.
Work Environment

This role is situated in a medical clinic, where you will manage various administrative functions.

Key Responsibilities
  • Formulate detailed plans to prioritize tasks effectively.
  • Organize workflows to ensure all duties are accomplished efficiently.
  • Train staff on their responsibilities and organizational policies.
  • Compile and present reports as required.
  • Ensure the seamless operation of office equipment.
  • Address workplace challenges, offering technical guidance and suggesting improvements to enhance productivity and quality.
  • Coordinate, delegate, and review tasks among team members.
  • Order necessary materials, equipment, and supplies.
  • Schedule maintenance and repair services as needed.
  • Collaborate with other departments to align activities.
  • Establish work schedules and procedural guidelines.
Supervisory Responsibilities

Supervise a team of approximately 5-10 personnel, including:

  • Administrative clerks
  • General office clerks
  • Telephone operators
  • Typists and word processing operators
Technical Proficiency

Proficient in the following software:

  • MS Excel
  • MS Outlook
  • MS Word
  • QuickBooks
Work Conditions
