Position Overview

As an Executive Administrative Specialist at Demostat Services, you will play a vital role in ensuring the smooth operation of our office. Your organizational skills and attention to detail will be essential in supporting our team and enhancing productivity.

Qualifications
  • Education: Completion of a college, CEGEP, or equivalent non-university certificate or diploma program lasting 1 to 2 years.
  • Experience: A minimum of 2 years and less than 3 years of relevant experience in an administrative capacity.
Key Responsibilities
  • Organize and coordinate various events such as seminars and conferences.
  • Facilitate effective communication within the team.
  • Document and prepare minutes for meetings, seminars, and conferences.
  • Address employee inquiries and resolve complaints.
  • Manage the ordering of office supplies and oversee inventory levels.
  • Coordinate travel arrangements, including itineraries and reservations.
  • Welcome visitors and guide them to the appropriate contacts or service areas.
  • Establish and maintain both manual and digital filing systems for information management.
  • Draft and proofread correspondence, forms, and other documentation.
  • Collaborate with the marketing department to effectively convey marketing messages.
Work Environment

This is a permanent position requiring a commitment of 30 to 44 hours per week. The primary language of communication in this role is English.
