Position Overview:
Our client, a distinguished boutique commercial law firm, is seeking an Intermediate Legal Administrative Assistant to enhance their Corporate Services division. This role is a permanent, full-time opportunity that involves collaborating closely with a Senior Corporate Paralegal to deliver essential administrative support.
The ideal candidate will have a minimum of 3-5 years of relevant experience, coupled with a solid understanding of corporate and commercial law. The successful applicant will demonstrate a proactive attitude and possess the following key attributes:
- Exceptional written and verbal communication abilities;
- Strong organizational skills with the capacity to manage multiple files and adhere to critical deadlines;
- Meticulous attention to detail;
- Capability to effectively oversee all administrative responsibilities, including file management;
- Advanced proficiency in computer applications.
Key Responsibilities:
- Manage and distribute incoming correspondence within the Corporate Services Department;
- Prepare annual maintenance documentation, including annual reports and consent resolutions for both British Columbia and Federal corporations;
- Organize and collate returned annual reports for corporate registry filing;
- Facilitate corporate registry filings, including annual reports;
- Draft standard correspondence and routine emails related to annual maintenance using relevant software (Word, Outlook, and ALF);
- Maintain an effective bring forward system;
- Generate invoices utilizing PC Law accounting software;
- Conduct due diligence searches through BC Online, Personal Property Registry, LTSA, and other relevant databases;
- Scan records and create virtual minute books;
- Provide comprehensive administrative support to Corporate Commercial and Real Estate practitioners;
- Serve as a secondary backup for Reception relief as needed.
The successful candidate will exhibit strong skills in Microsoft Office, particularly Word and Excel. Familiarity with PCLaw and knowledge of BC corporate records, including the ability to review minute books and ALF records, will be advantageous. Additionally, the candidate should possess excellent interpersonal skills and the ability to work independently while exercising sound judgment.
Compensation: Salary range: $55,000 - $70,000.
