About the Role
The Project Coordination Specialist is essential in providing comprehensive administrative assistance to the Project Managers within our organization. This role involves the independent execution of tasks following established guidelines and procedures.
Key Responsibilities:
- Prepare and maintain all project documentation, including reports, meeting minutes, and correspondence.
- Facilitate the management of project files, ensuring all records are organized and accessible.
- Coordinate travel arrangements for Project and Program Managers as needed.
- Document meeting discussions and prepare formal records for stakeholders.
- Assist in the distribution of customer surveys and ensure all necessary documentation is completed.
- Provide timely updates on project status and key performance indicators to the Program Management Team.
- Support billing and invoicing processes related to project activities.
- Manage multiple administrative tasks efficiently, ensuring deadlines are met.
- Perform additional duties as required to support project objectives.
Qualifications:
- Strong customer service skills and the ability to work collaboratively in a team environment.
- Proficient in Microsoft Office Suite.
- Excellent verbal and written communication abilities.
- Self-motivated with a proactive approach in a dynamic setting.
- Effective multitasking and time management skills.
- A diploma or certificate in Business or Administration is preferred.
- A minimum of 2 years of relevant experience in administrative or customer service roles, ideally within the aviation sector.
- A foundational understanding of project management principles and practices.
