Position Overview

As an Office Administration Specialist at CAPSTONE IMMIGRATION SERVICES LTD., you will play a crucial role in ensuring the smooth operation of our office. Your responsibilities will encompass a variety of administrative tasks that support our team and enhance client interactions.

Key Responsibilities
  • Office Procedures: Establish and maintain effective office routines and procedures.
  • Appointment Management: Schedule and confirm meetings and appointments efficiently.
  • Contract Administration: Oversee and manage contracts to ensure compliance and timely execution.
  • Communication: Handle telephone calls and relay messages accurately.
  • Information Management: Respond to electronic inquiries and compile necessary data and statistics.
  • Inventory Control: Order and maintain office supplies to ensure operational efficiency.
  • Client Interaction: Greet visitors and direct them to the appropriate contacts or service areas.
  • Filing Systems: Set up and maintain both manual and computerized filing systems for easy access to information.
  • Documentation: Type and proofread various documents, ensuring accuracy and professionalism.
  • Data Entry: Perform data entry tasks with attention to detail.
  • Customer Service: Provide exceptional service to clients and stakeholders.
Qualifications
  • Education: Completion of secondary (high) school graduation certificate.
  • Experience: A minimum of 1 year to less than 2 years in a similar role.
Work Environment
