Job Summary:

We are seeking a highly skilled and experienced Senior Wealth Management Operations Analyst to join our team at Wellington-Altus Private Wealth Inc. As a key member of our Wealth Products team, you will be responsible for overseeing and enhancing the performance of our wealth management platforms.

Key Responsibilities:

  • Platform Management: Manage comprehensive operational processes for platforms such as Advice Based, Advice+ Managed, Platinum Private Portfolios (Internal and External), and Crescent Separately Managed Accounts (SMA).
  • Account Transitions and Trades: Ensure accurate and efficient execution of account transitions and trades, resolving any issues promptly to maintain seamless operations.
  • Operational Guides: Update and refine operational guides to reflect changes in procedures and best practices, ensuring current and accurate documentation and effective communication with stakeholders.
  • Client Service: Provide exceptional service to investment advisors, addressing their needs with attention to detail and handling inquiries and requests efficiently and effectively.
  • System Knowledge: Demonstrate robust operational acumen and system knowledge, including expertise in systems such as Croesus, Thomson ONE, and Excel.
  • Execution and Auditing: Oversee execution and auditing processes to ensure accuracy and compliance with operational standards.
  • Trade Support: Deliver comprehensive trade support for the CTG platform.
  • Collaboration: Collaborate with internal teams and external stakeholders to provide timely solutions and maintain high standards of trading operations.
  • Reporting and Data Integrity: Generate comprehensive reports and ensure data integrity across platforms, utilizing insights to enhance operational efficiency.
  • Performance Metrics: Monitor and assess performance metrics to identify areas for process improvement, ensuring operations align with organizational objectives and standards.
  • Platform Functionality: Oversee and enhance platform functionality by monitoring account setups, configurations, and quality controls to ensure accurate and efficient processing.
  • Operational Guides and Training: Develop and maintain detailed operational guides and training materials tailored to discretionary trading and platform support, ensuring stakeholders are well-informed.
  • Analytical Support: Provide high-level analytical support by generating comprehensive data reports, performing extracts, and delivering auditing services to internal and external stakeholders.
  • Regulatory Compliance: Maintain strict adherence to regulatory requirements and internal policies to ensure the highest standards of data accuracy and confidentiality.
  • Quality Assurance: Manage quality assurance processes by conducting regular audits and implementing necessary corrective actions to address any discrepancies.
  • Financial Transactions: Manage closing fees, billing, and fee setups in close collaboration with the Fees department, ensuring all financial transactions and processes comply with established standards.
  • Relationship Building: Cultivate and sustain relationships with internal teams, external stakeholders, custodians, and vendors to ensure seamless platform operations and promote a collaborative work environment.
  • Communication: Adapt communication styles to effectively engage with various stakeholders, ensuring clarity and precision in interactions.
  • Project Management: Manage and coordinate platform-related projects, including system updates, account transitions, and RR/ASC code management.
  • Troubleshooting and Process Enhancement: Ensure thorough troubleshooting and process enhancements with comprehensive documentation and detailed progress tracking.
  • Operational Efficiency: Take initiatives to boost operational efficiency and drive digitalization by evaluating and implementing in-house technology solutions.
  • Platform Performance: Focus on enhancing platform performance through strategic improvements and technology integration.
  • PPP Repatriation: Take charge of PPP repatriation projects, ensuring seamless asset transitions and adherence to compliance standards.
  • Collaboration and Communication: Collaborate closely with vendors, the Transformation Office, NBF, the Documentation Team, Advent Support, and Envestnet teams to streamline and optimize the repatriation process.
  • Performance Reporting: Develop and deliver performance reports by preparing and presenting detailed performance reports to senior management, emphasizing key achievements, challenges encountered, and areas requiring improvement.
  • Actionable Insights: Provide actionable insights to support strategic decision-making.
  • Process Automation: Identify and implement opportunities to automate manual processes, focusing on solutions that meet evolving business needs.
  • Scalability and Efficiency: Ensure that automation strategies improve scalability, operational efficiency, and align with overall business objectives.

Requirements:

  • Education: Bachelor's degree or diploma in business administration, accounting, finance, economics, or a related field of study.
  • Experience: 2+ years of experience in a wealth management firm, with exposure to working with custodians such as National Bank, Fidelity or Aviso.
  • Customer Service: 2+ years of experience in a customer/client-service facing role or similar back-office experience working with internal teams, vendors and custodians.
  • Certification: Successful completion of CSI or IFIC Certification is an asset.
  • Technical Skills: Proficiency with the MSOffice suite, including Word, PowerPoint, Teams, and Outlook. High-level Excel acumen is required.
  • System Knowledge: Hands-on experience with panels within Thompson One/OSS, and exposure to wealth management systems such as Croesus, Netrep, Advent, Envestnet and Purefees.
  • Platform Functionality: Proficient in overseeing platform functionalities, managing system updates, account transitions, and troubleshooting issues.
  • Operational Efficiency: Ability to enhance platform performance through strategic improvements and efficient process management.
  • Project Management: Expert in coordinating and managing projects related to platform operations, including detailed documentation, progress tracking, and collaboration with cross-functional teams to ensure successful project outcomes.
  • Technology Evaluation: Strong understanding of evaluating and implementing technology solutions to drive operational efficiency and digitalization.
  • Process Automation: Capable of identifying and automating manual processes to improve scalability and overall performance.
  • Regulatory Compliance: Strong understanding of regulatory requirements and internal policies to ensure compliance and maintain data accuracy.
  • Relationship Building: Ability to build and maintain relationships with internal teams, external stakeholders, custodians, and vendors.
  • Trade Support: Ability to provide trade support for CTG platforms, handling trade escalations, and resolving discrepancies.
  • Collaboration: Ability to collaborate with internal and external parties to ensure smooth trading operations.
  • Accountability: Demonstrate a high level of accountability, reliability, adaptability, and innovation in accomplishing day-to-day work and long-term goals.
