Join Vancouver Coastal Health (VCH) as a Patient Safety Systems Coordinator

Vancouver Coastal Health is seeking a Patient Safety Systems Coordinator to be part of the Medicine Quality & Safety Team. This role is pivotal in enhancing patient safety across the organization.

Reporting to the Regional Director of Quality & Patient Safety, the Patient Safety Systems Coordinator will oversee all facets of the Patient Safety Learning System (PSLS) projects within Vancouver Coastal Health (VCH). This individual will facilitate strategic planning initiatives by coordinating the phased implementation and system updates for the PSLS software across various units and departments. As the recognized authority on designated PSLS modules, the Coordinator will collaborate with stakeholders to optimize processes and ensure compliance with policies, procedures, and standards related to PSLS. The role involves identifying and resolving functional PSLS issues promptly while continuously seeking opportunities to enhance system utilization for ongoing business process improvement. The Coordinator will engage with users and management at all levels within VCH and external partners, including the BC Patient Safety Learning System central office application team, to address system needs, test solutions, and resolve technical and business challenges. Participation in PSLS committees is also a key responsibility. The Coordinator will work closely with managers, project leads, and steering committees to meet the needs of PSLS users and will be responsible for effectively communicating and training users on the functionalities and objectives of the PSLS system. Additionally, the Coordinator will assist in crafting queries to extract information from the system and will stay informed about new functionalities. This role provides technical leadership and guidance to project resources and offers system recommendations to team members and other stakeholders. Collaboration with various Health Authorities to share best practices in process implementation is essential.

Key Responsibilities of the Patient Safety Systems Coordinator include:

Serving as a subject matter expert, providing both business and technical guidance to internal users and external partners to ensure business needs are met and the application is utilized effectively. Staying updated on new system functionalities. Collaborating with stakeholders at all levels to resolve issues and improve business processes. Identifying opportunities for application enhancements and ensuring that system improvements are developed, tested, and deployed according to requirements. Configuring system modifications and preparing documentation for changes that impact system processing, including adjustments to shared modules and the use of Application Designer tools. Identifying and promoting best practices while ensuring robust process methodologies and evaluations of PSLS initiatives. Facilitating expedited resolutions to challenges to enable successful solution implementation. Coordinating and delivering training sessions, leading train-the-trainer initiatives, and providing personalized guidance. Evaluating the effectiveness of training sessions and developing training materials and reference documentation for new systems and processes to ensure consistent user knowledge. Developing and modifying queries in PSLS to tailor reports to user requirements and conducting system audits to maintain data integrity. Providing ongoing support for initiatives from project sponsors and user groups, keeping stakeholders informed of project progress and ensuring effective communication channels are established. Representing the department in meetings and committees, establishing clear communication lines between user departments and technical teams. Building relationships with stakeholders to facilitate knowledge sharing and collaboration on issues. Supporting the analysis of incidents, claims, and complaints to identify trends in areas of risk, in collaboration with Quality & Patient Safety and Risk Management staff. Coordinating with project team members to communicate priorities and ensure issues are addressed or escalated appropriately.

Qualifications

Education & Experience

A Bachelor's Degree in healthcare or a related field, supplemented by relevant Information Systems coursework. Five (5) to seven (7) years of recent, related experience focusing on clinical systems or an equivalent combination of education, training, and experience. Preferred experience and education in quality and patient safety or risk management. Excellent communication skills to operate effectively within a complex interdisciplinary environment.

Knowledge & Abilities

Demonstrates a strong sense of ownership and a results-oriented approach to continually enhance processes and systems, contributing to overall organizational success. Utilizes initiative, vision, independent thinking, and creative problem-solving skills to implement project plans and achieve project completion. Expertly applies knowledge of interface and application design to create solutions that fulfill both business and technical requirements. Applies comprehensive knowledge and skills in change management theory and leadership to facilitate consensus. Uses a solid understanding of business functions, interdependencies, and processes to ensure data accuracy and enhance the Safety Learning System (SLS). Demonstrates strong technical and troubleshooting skills to accurately map and extract data for submission to external agencies, providing guidance to stakeholders and achieving consensus while resolving conflicts. Employs strong communication skills to establish and maintain effective communication channels with stakeholders. Remains informed about technological advancements, anticipates opportunities, and ensures readiness for future technology changes and enhancements.
