Job Summary

We are seeking a highly skilled Property Administrator to join our Residential team in Inuvik, NT. As a key member of our operations team, you will play a critical role in ensuring the effective management of our properties.

Key Responsibilities

  • Provide exceptional customer service to residents and prospective residents, responding to inquiries and resolving issues in a timely and professional manner.
  • Manage the day-to-day operations of our property management offices, including coding payables invoices, setting up vendor accounts, and creating and closing purchasing orders.
  • Process bank deposits, EFTs, and security deposit refunds, ensuring accuracy and attention to detail.
  • Coordinate maintenance requests, ensuring they are handled in accordance with priority and properly input into our property management system.
  • Audit Telelink work orders to ensure compliance and quality.
  • Maintain accurate and up-to-date resident files, including contact information and lease agreements.
  • Prepare and send office correspondence, including resident letters, rent increases, and eviction notices.
  • Validate utility bills and process chargebacks.
  • Perform ledger reconciliations and monthly postings.
  • Manage aged receivables, handle collection calls, and process RTDRS filings.
  • Oversee office inventory and supplies, ensuring adequate stock levels and efficient ordering processes.
  • Receive and send mail and courier items, maintaining a high level of organization and attention to detail.
  • Attend leasing meetings and provide support to the leasing team.
  • Prepare health and safety compliance paperwork and ensure compliance with relevant regulations.
  • Schedule move-out appointments with tenants and conduct property inspections.
  • Prepare lease agreements for new tenant occupancy and renewals.
  • Audit lease agreements to ensure accuracy and compliance.
  • Provide general administrative support and maintain a positive working relationship with colleagues and residents.

Requirements

  • Ability to work independently or as part of a team, with a strong focus on multitasking and prioritization.
  • Previous administration experience, with a preference for property management experience.
  • Knowledge of the Residential Tenancies Act and RTDRS filing system.
  • Proficiency in MS Office suite, with a focus on intermediate-level skills.
  • Excellent customer service skills and a pleasant demeanor.
  • Ability to speak and write English fluently.
  • Able to provide a criminal record free of relevant convictions.
