Position Overview

The role of the Office Administrative Assistant at M.A.S IMMIGRATION CONSULTANT LTD. is crucial for the smooth functioning of our organization. This position requires a proactive individual who can effectively manage various administrative tasks and support the HR department in achieving its objectives.

Key Responsibilities
  • Education: Secondary (high) school graduation certificate is required.
  • Operational Management: Oversee daily operations and ensure alignment with organizational goals.
  • Staff Supervision: Direct and manage staff activities to optimize productivity.
  • Budget Oversight: Plan and control budgetary allocations and expenditures.
  • Policy Implementation: Establish and enforce company policies and procedures.
  • Training: Facilitate training sessions for new and existing employees.
  • Appointment Management: Schedule and confirm appointments efficiently.
  • Communication: Handle telephone inquiries and relay messages accurately.
  • Data Management: Compile and analyze data, statistics, and other relevant information.
  • Report Preparation: Supervise the preparation of essential reports.
  • Inventory Control: Manage office supplies and maintain inventory levels.
  • Negotiation: Engage in collective agreement negotiations on behalf of the organization.
  • Grievance Procedures: Organize staff consultation and grievance handling processes.
  • Payroll Administration: Oversee payroll processes to ensure accuracy.
  • Travel Coordination: Arrange travel itineraries and make necessary reservations.
  • Research Activities: Conduct research to support organizational initiatives.
  • Data Entry: Perform accurate data entry tasks.
  • Marketing Collaboration: Work closely with the marketing team to communicate key messages.
  • Database Management: Maintain and manage digital databases effectively.
  • Bookkeeping: Execute basic bookkeeping responsibilities.
  • Performance Evaluation: Conduct performance reviews for staff members.
  • Work Environment Assessment: Evaluate programs and procedures to enhance workplace safety.
Experience Requirements
  • 1 to less than 7 months of relevant experience.
  • Employment Duration: Permanent position.
  • Working Language: English.
