The Administrative Support Specialist plays a vital role in facilitating the efficient operations of the healthcare facility. This position is responsible for providing confidential administrative assistance to the management team, ensuring smooth daily operations.
Key Responsibilities- Manage sensitive and confidential information with discretion.
- Respond to inquiries and handle phone calls as required.
- Prepare and edit correspondence and documentation.
- Schedule and coordinate appointments and meetings.
- Draft agendas and accurately record, transcribe, and distribute meeting minutes.
- Maintain filing systems and databases to ensure organized information management.
- Perform general office tasks, including email correspondence, mail processing, and supply ordering.
- Collaborate with administrative staff across various departments to enhance operational efficiency.
- Completion of a post-secondary diploma in office administration, business administration, or a related field.
- An undergraduate degree is considered an asset.
- Certification from the International Association of Administrative Professionals (IAAP) is a plus.
- A minimum of five to seven years of progressive experience in providing administrative support at an executive level, preferably in a healthcare environment.
- Strong interpersonal and communication skills, with a high level of professionalism and confidentiality.
- Exceptional organizational and time management abilities.
- Proficiency in modern office practices and technology, including Microsoft Office Suite and meeting technologies.
- Competency in additional languages is advantageous, with a preference for French.
- Permanent Full-Time; 75 hours bi-weekly.
The hourly wage for this position is $29.73. Successful candidates may qualify for a comprehensive benefits package, which includes health, dental, travel, long-term disability, and life insurance, as well as a defined benefit pension plan.
