Gia Investments Inc. is a dynamic organization seeking a highly skilled and organized individual to join our team as an Administrative Assistant. As a key member of our support services team, you will play a vital role in ensuring the smooth operation of our daily activities.
Key Responsibilities- Event Planning and Coordination
We are looking for an individual who can arrange and coordinate seminars, conferences, and other events to support our business objectives.
Staff Support and ConsultationYou will assist with staff consultation and grievance procedures, providing a supportive and confidential environment for our team members.
HR Department CoordinationAs a key member of our support services team, you will coordinate the activities of the HR department to ensure they meet our organization's goals and objectives.
Information Flow and ManagementYou will be responsible for coordinating the flow of information within the team, ensuring that all stakeholders are informed and up-to-date on key developments.
Operational ManagementAs an Administrative Assistant, you will direct and control daily operations, ensuring that our business runs smoothly and efficiently.
Staff Direction and EvaluationYou will direct staff, evaluate daily operations, and motivate team members to achieve their best.
Administrative TasksYou will be responsible for a range of administrative tasks, including opening and distributing mail, planning and controlling budget and expenditures, and recording and preparing minutes of meetings.
Office Procedures and RoutinesYou will establish and implement policies and procedures, determine and establish office procedures and routines, and oversee the classification and rating of occupations.
Recruitment and SchedulingYou will plan, develop, and implement recruitment strategies, schedule and confirm appointments, and answer telephone and relay telephone calls and messages.
Data Analysis and ManagementYou will oversee the analysis of employee data and information, answer electronic enquiries, and compile data, statistics, and other information.
Supply Management and Customer ServiceYou will order office supplies, maintain inventory, greet people, and direct them to contacts or service areas.
Information Filing and CorrespondenceYou will set up and maintain manual and computerized information filing systems, type and proofread correspondence, forms, and other documents, and conduct research.
Performance Reviews and BookkeepingYou will conduct performance reviews, perform basic bookkeeping tasks, and consult with clients after sale to provide ongoing support.
Computer and Technology KnowledgeYou will have a strong understanding of MS Excel, MS Outlook, MS PowerPoint, MS Windows, and MS Word.
Security and SafetyYou will undergo a criminal record check and be able to work in a fast-paced environment with tight deadlines.
Work Conditions and Physical CapabilitiesYou will be able to work independently, have a strong attention to detail, and be able to work with minimal supervision.
Personal SuitabilityYou will possess flexibility, judgement, organization, and a strong client focus, with the ability to work in a team environment.
