Key Responsibilities:

In this role, you will oversee live project initiatives from inception to completion. Your responsibilities will include collaborating with various internal teams to ensure the timely delivery of equipment, managing manpower needs, and maintaining thorough documentation. You will liaise with our partners to monitor project progress and provide regular updates.

  • Manage the procurement of necessary equipment from internal departments, ensuring clarity on shipping requirements and delivery timelines.
  • Accurately forecast installation schedules to aid in budget planning for quarterly and annual installations.
  • Ensure project milestones are met within the established budgetary constraints.
  • Develop and maintain a detailed project schedule for live installations.
  • Coordinate the installation of essential components with partners or electrical vendors, including invoice approvals.
  • Regularly prepare and review project reports detailing completed installations and commissioning activities.
  • Take ownership of project budgets, ensuring all costs are justified and kept to a minimum while maintaining high standards of client satisfaction.
  • Provide necessary information to our partners to facilitate coordination within their teams.
  • Report on project status and forecasts to senior management on a weekly basis.
  • Collaborate with the installation team to determine manpower requirements and scheduling.
  • Work with the project coordinator to ensure sales orders are processed, invoices are settled, and schedules are current.
  • Monitor installation processes and address any issues that arise promptly.
  • Upon project completion, prepare a comprehensive installation summary report.
  • Ensure all project documentation is complete and accurate.
  • Prepare and oversee project budgets, ensuring cost-effectiveness in all expenditures.
  • Provide quarterly forecasts for spending related to current and future projects.
  • Facilitate the handover of systems to technical services once contractual obligations are fulfilled.
  • Offer constructive feedback to improve project execution and cost efficiency.
  • Deliver monthly project updates to relevant internal departments.
  • Prepare executive summaries as needed.

Qualifications:

  • Proficient in computer applications, including Windows, Microsoft Word, Excel, and Project.
  • Strong verbal and written communication skills.
  • Ability to analyze information, prioritize tasks, and provide clear instructions.
  • Experience working with diverse cultures and languages.
  • Basic knowledge of budgeting and accounting principles.
  • Familiarity with SAP, Smartsheet, and SharePoint is an asset.
