Office Administrative Assistant

We are seeking a highly organized and detail-oriented Office Administrative Assistant to join our team at Jasmeet Kaur Dhaliwal, Baljeet Singh Dhaliwal. As an Office Administrative Assistant, you will play a vital role in ensuring the smooth operation of our office.
Key Responsibilities- Supervise and Coordinate Office Activities
- Oversee the daily operations of the office, ensuring that all tasks are completed efficiently and effectively.
- Supervise and coordinate the work of other office staff, providing guidance and support as needed.
- Establish and Maintain Office Procedures
- Determine and establish office procedures and routines to ensure the smooth operation of the office.
- Develop and implement policies and procedures to ensure compliance with company standards.
- Manage Schedules and Appointments
- Schedule and confirm appointments, meetings, and events.
- Manage and maintain calendars, ensuring that all appointments and meetings are up-to-date and accurate.
- Manage Contracts and Training
- Manage contracts, agreements, and other documents related to the office.
- Develop and implement training programs to ensure that office staff have the necessary skills and knowledge to perform their duties effectively.
- Provide Administrative Support
- Provide administrative support to the management team, including preparing reports, presentations, and other documents.
- Manage and maintain office supplies, ensuring that the office is well-stocked and equipped.
- Communicate Effectively
- Communicate effectively with staff, management, and clients, both verbally and in writing.
- Respond to employee questions and concerns, providing guidance and support as needed.
- Maintain Confidentiality
- Maintain confidentiality of sensitive information, including employee records and company data.
- Ensure that all confidential information is handled and stored securely.
- Education
- Secondary (high) school graduation certificate.
- Experience
- 1 year to less than 2 years of experience in an administrative role.
- Skills
- Excellent communication and interpersonal skills.
- Ability to multitask and prioritize tasks effectively.
- Strong organizational and time management skills.
- Proficient in MS Office, including Excel, Word, and Outlook.
The successful candidate will work in a fast-paced environment, with tight deadlines and a high level of attention to detail. The ability to work under pressure and maintain a high level of accuracy is essential.
