Position Title: Client Service Administrator

Department: Surgical Services

Overview: The Client Service Administrator plays a crucial role in the Surgical Services team, collaborating closely with surgeons, technicians, and other hospital departments, as well as clients and referring veterinary practices. This position is essential for ensuring optimal patient care through effective communication throughout the entire process of appointments, diagnostics, and surgical procedures. The surgical environment is dynamic and fast-paced, necessitating a candidate who thrives under pressure, possesses excellent communication skills, and pays meticulous attention to detail.

Essential Qualifications:

  • At least 2 years of experience in veterinary administration
  • Minimum of 5 years in a customer service role within a professional environment
  • Strong written and verbal communication abilities
  • Highly organized with proven multitasking capabilities
  • Proficient in interacting with diverse staff levels, clients, and veterinary offices
  • Preferred: Associate's Degree in Science or Bachelor's Degree
  • Ability to work independently with minimal oversight
  • Competent computer skills

Key Responsibilities:

  • Manage referrals for the surgical department, including scheduling initial consultations and follow-up appointments
  • Communicate with clients to confirm appointments and clarify hospital protocols prior to their visit
  • Ensure that all necessary medical records and diagnostics are available before consultations
  • Prepare estimates for diagnostic evaluations, surgical procedures, and follow-up care, including emergency transfers
  • Discuss estimates and peri-operative expectations with clients
  • Provide clients with payment and financing options, including third-party financing information
  • Complete discharge consultations, ensuring all patient belongings and medications are returned
  • Conduct follow-up calls within 24-72 hours post-discharge for all surgical patients
  • Handle initial client inquiries to gather relevant information and direct communication to the appropriate technician or surgeon
  • Review and manage all emails and communication tasks, addressing scheduling queries or directing them to the relevant personnel
  • Monitor incoming laboratory and radiographic reports, ensuring they are forwarded to the appropriate service
  • Respond to incoming calls from clients and referring veterinarians regarding surgical services
