As a key member of the Counselling Services Department, the Counselling Operations Supervisor plays a vital role in managing the administrative functions of the department. Reporting directly to the Department Chair, this position is responsible for supervising the daily activities of the Assistants and providing essential support to the Counselling team.
The Supervisor actively participates in the development and execution of front-line procedures, policies, and protocols, ensuring the maintenance of a safe, inclusive, and welcoming environment for students. This role is crucial in upholding the work performance standards established by the institution.
Qualifications:Education & Experience:
- A two-year Diploma or Associate Degree in a relevant field such as social work, psychology, counseling, or business administration.
- A minimum of six (6) years of recent relevant experience, which includes providing support services, office administration, and overseeing operations. At least two years of supervisory experience is required.
- Experience managing confidential student records is essential.
- Familiarity with clinical scheduling software, such as Titanium, is considered an asset.
- Experience in environments serving individuals in distress, such as medical or counseling offices, is preferred.
- Knowledge of mental health policies and training in mental health first aid is advantageous.
- Strong oral and written communication skills in English.
- Proven ability to supervise, plan, schedule, train, and evaluate team members.
- Capacity to effectively communicate with diverse community members, particularly those experiencing high stress or emotional distress.
- Excellent listening and interpersonal skills, with a strong respect for cultural differences.
- Demonstrated proficiency in composing correspondence and generating documentation.
- Outstanding problem-solving, organizational, and multitasking abilities.
- Capability to implement and oversee a counselling services triage process.
- Commitment to maintaining confidentiality and handling sensitive information responsibly.
- Proactive approach and initiative in a team setting.
- Ability to work effectively both as a leader and a team member.
- Demonstrated supervisory skills and a willingness to respect diverse perspectives.
- Commitment to enhancing knowledge and skills related to equity, diversity, and inclusion.
- Ability to exercise mature judgment and discretion in challenging situations.
- Familiarity with Microsoft 365 and proficiency in using Microsoft Excel for data management.
- Competence in updating website content as needed.
- Keyboarding skills of at least 45 words per minute.
This position typically operates Monday to Friday, from 8:30 AM to 4:30 PM.
