Williams Lea Limited is seeking a highly skilled and organized Administrative Support Specialist to join our team. As a key member of our support staff, you will provide exceptional customer service to our clients and support the Office, Team Leader, and Admin Support Manager.
Key Responsibilities
- Provide accurate and timely message taking and passing on to clients and internal teams
- Manage room and hospitality bookings, including setting up rooms and ensuring seamless event execution
- Supervise and assist at events, including evening events as agreed upon
- Deliver an exceptional electronic and hard copy file management service, ensuring accurate and efficient document handling
- Return or add documents to existing client files, maintaining confidentiality and attention to detail
- Work with the practice management system to log and record documents, ensuring accurate and up-to-date information
- Handle and administer closed files as requested, maintaining confidentiality and adhering to company policies
- Sort, scan, rename, and distribute incoming mail, ensuring timely and accurate delivery
- Provide photocopying, scanning, and printing services as per client instructions, maintaining high levels of customer satisfaction
- Collect and complete any information required for billing or client charge back data, ensuring accuracy and attention to detail
- Accept requests from Fee Earners/PAs, notifying them of estimated completion time as appropriate and in line with service level agreements
- Handle incoming and outgoing deliveries via courier, ensuring all incoming documents are scanned entirely and allocated to the relevant electronic post folders
