Position Summary
As an Executive Assistant, you will play a vital role in ensuring the smooth operation of the Vice President (VP) or Associate Vice President (AVP)'s office. Your responsibilities encompass managing administrative tasks, onboarding new staff members, generating reports, coordinating meetings for branch administration teams, and contributing to team-building activities.
You will collaborate with Regional administrative staff to organize project development inquiries and monitor the Development Strategies budget, preparing comprehensive analysis reports. Your role also involves coordinating departmental communications and regional training initiatives. You will serve as a technical resource for information systems and act as the administrative liaison between various departments, branches, and external contacts.
Candidate Profile
Education & Experience
- Diploma in commerce or business administration, or a related field.
- Significant experience managing administrative functions within a fast-paced and complex environment.
- An equivalent combination of education, training, and experience acceptable to the Employer.
Knowledge, Skills & Abilities
- A strong understanding of office management practices for senior executives.
- Comprehensive knowledge of the branch's policies, programs, and operational requirements.
- Solid understanding of the management, business, and administrative practices related to development and asset strategies projects.
- Ability to assess branch needs, develop innovative administrative approaches, and lead the planning and implementation of these changes.
- Exceptional ability to manage multiple tasks and projects, coordinate work with others, keep senior management informed about key issues, and adapt to shifting priorities.
- Proven ability to build strong working relationships with internal and external stakeholders to achieve objectives.
- Excellent judgment, diplomacy, and tact in handling diverse daily matters.
- Strong conflict resolution, consensus-building, and interpersonal skills.
- Proficiency in verbal and written communication, organizational, analytical, problem-solving, time management, and expediting skills.
- Mastery of computer applications including Microsoft Word, Excel, PowerPoint, Access, and Project.
