Job Summary

The Executive Assistant to the Board of Governors is a senior-level administrative position responsible for providing high-level support to the Board and its committees. This role requires exceptional organizational skills, attention to detail, and the ability to maintain confidentiality.

Key Responsibilities
  • Provide administrative support to the Board and its committees, including coordinating meetings, preparing agendas and minutes, and ensuring timely communication of action items.
  • Manage the day-to-day operations of the Board Office, including overseeing the budget, coordinating travel arrangements, and maintaining the official records of the Board.
  • Support the Leadership Team and colleagues on governance-related matters, using sound judgment to advise on pressing issues and emerging concerns.
  • Develop and implement systems and procedures to anticipate and address the needs of the Board and the Leadership Team.
  • Collaborate with the Crown Agencies and Board Resourcing Office (CABRO) to provide support in Board recruitment, succession planning, and appointment processes.
Requirements
  • Bachelor's Degree or equivalent in a relevant discipline.
  • Minimum five years of administrative management experience, preferably in a senior executive assistant role within a post-secondary environment.
  • Extensive knowledge of and experience in supporting a governance board.
  • Excellent verbal and written communication, time management, and presentation skills.
  • Demonstrated ability to prioritize workloads, develop, plan, and complete multiple concurrent projects.
  • Demonstrated ability to analyze and interpret legislation, bylaws, and policies applicable to the operation of a governance board within a post-secondary environment.
  • Advanced proficiency in business software, applications, and technology, including Microsoft Professional Suite applications, Adobe Acrobat, and videoconferencing.
