Our diverse portfolio encompasses projects from initial engineering phases to commissioning and startup.
Position Summary: We are seeking a Tender Coordinator/Technical Writer to enhance our expanding engineering team. This role, reporting to the Director of Business Development and technical leads, will focus on:
- Evaluating project opportunities and crafting summaries to guide bid/no bid decisions.
- Coordinating and preparing RFP responses for various scopes, including transmission, substations, distribution, telecommunications, surveys, or fabrication.
- Collaborating with engineering teams to edit and compose technical project reports and manuals to support project execution.
The Tender Coordinator will engage with clients, internal departments, and subject matter experts throughout the bid lifecycle, assisting in opportunity sourcing, information gathering, and developing winning strategies to enhance proposal content while maintaining a consistent brand message.
Key Responsibilities:
- Serve as the primary point of contact with clients during the bidding process, from initial inquiries to post-bid follow-ups.
- Identify deliverables for responses, establish submission timelines, and communicate roles and responsibilities to the response team.
- Facilitate proposal kick-off and review meetings, track action items, and maintain communication regarding deadlines and requirements.
- Proofread proposals to ensure adherence to company standards for accuracy, quality writing, and branding.
- Ensure all tenders, proposals, and qualification submissions are of high quality, compliant, and effectively communicate our capabilities and service value.
- Submit proposal responses through various systems and methods, including electronic submissions, online bid portals, email, and hardcopy.
- Assist in formulating and implementing winning strategies, key messages, marketing themes, and differentiators in proposal submissions.
- Coordinate and document Bid Debriefs and Lessons Learned for future submissions.
- Create and update boilerplate documents, templates, project profiles, and team member resumes.
- Manage and distribute client documents to the response team.
- Maintain information in internal systems while adhering to document control and reporting requirements.
- Interpret and edit technical documents to ensure clear communication of calculations, modeling, and analysis, collaborating with technical staff to clarify ambiguities while preserving the original intent of reports.
Qualifications:
- Post-Secondary Degree in Marketing, Communications, Business, Engineering, or a combination of relevant education and experience.
- Minimum of 2 years of experience as a Tender Coordinator or similar role within the Engineering or Utilities sectors.
- Project Management experience and/or training is an asset.
- Proven technical writing experience.
- Experience in a schedule-driven environment.
