Proposal Development Specialist

Valard Group of Companies is seeking a highly organized and detail-oriented Proposal Development Specialist to join our team. As a key member of our proposal team, you will play a critical role in developing and coordinating proposals, tenders, and qualifications responses for our clients.
Key Responsibilities- Proposal Coordination: Coordinate and develop proposals, tenders, and qualifications responses for our clients, working closely with internal departments and subject matter experts.
- Client Liaison: Act as a primary liaison with clients during the bidding stage, from initial inquiry to post-bid stage.
- Proposal Management: Identify response deliverables, establish submission schedules, and communicate responsibilities and accountabilities to the response team.
- Proposal Quality Assurance: Proofread proposals to ensure they follow company standards for accuracy, quality writing, marketing focus, and brand.
- Proposal Submission: Submit proposal responses using various systems and methods, including electronic, online bid portals, email, and hardcopy.
- Win Strategy Development: Assist in developing and implementing win strategies, key messages, marketing themes, and differentiators in proposal submissions.
- Document Management: Coordinate and log Bid Debriefs and Lessons Learned for application on future submissions.
- Boilerplate Document Creation: Create and update boilerplate documents, templates, project profiles, and team member resumes.
- Client Document Distribution: Document management and distribution of client documents to the response team.
- Internal System Maintenance: Maintain information in Valard internal systems, as well as adhere to document control and reporting requirements.
- Client Liaison: Act as Client Liaison during the contract negotiation process.
- Project Award Notification: Generate a Project Award Notification to initiate project set-up in JDE; and to inform key internal groups and individuals and provide general details about the project.
- RFx Turnover: Assist in the RFx Turnover process by providing the Project Team access to working, and submitted, bid documentation, including any relevant supporting documentation (emails, meeting notes, post-bid communications, etc.).
- Education: Post-Secondary Degree in Marketing, Communications, Business; or a combination of relevant previous education and experience.
- Experience: 2+ years as a Proposal Coordinator, or lateral, experience.
- Project Management: Project Management experience and/or training an asset.
- Technical Writing: Demonstrated technical writing experience.
- Schedule-Driven Environment: Demonstrated experience in working in a schedule-driven environment.
- Accuracy and Confidentiality: Ability to maintain a high level of accuracy and confidentiality concerning proprietary information.
- Interpersonal Skills: Excellent interpersonal skills.
