Position Overview:The role of a Business Process Analyst involves examining, enhancing, and streamlining business operations within the organization. This position is responsible for identifying inefficiencies, bottlenecks, and areas ripe for improvement in existing workflows. A thorough analysis of current processes will uncover opportunities for optimization.
Once improvement areas are identified, the Business Process Analyst collaborates with various teams to develop and implement new procedures, processes, and technologies aimed at boosting overall efficiency and effectiveness. Engaging with stakeholders is crucial to gather requirements and ensure alignment across teams regarding proposed changes.
Key Responsibilities:
- Assessing current business processes, workflows, and procedures to pinpoint areas for enhancement.
- Designing and implementing optimized processes and procedures to improve efficiency, productivity, and customer satisfaction.
- Learning and mapping processes based on developed expertise rather than solely relying on subject matter experts.
- Ensuring comprehensive analysis of all processes, including people, systems, and customer flows.
- Facilitating discussions driven by a decision-based model.
- Collaborating with stakeholders to create and execute process improvement initiatives aligned with organizational objectives.
- Translating business objectives, processes, and requirements into clear user stories, use cases, and functional specifications.
- Conducting gap analyses to identify discrepancies between current and desired states; recommending process improvements grounded in methodologies such as friction reduction and lean efficiency.
- Presenting process improvement insights to stakeholders for alignment on decisions.
- Monitoring and evaluating the effectiveness of implemented changes, measuring key performance indicators, and making necessary adjustments for ongoing improvement.
- Staying informed about industry trends, emerging technologies, and process improvement methodologies.
- Performing thorough data analysis and process mapping to uncover obstacles, inefficiencies, and opportunities for enhancement.
- Assisting in the development and implementation of new business processes and systems.
- Working with cross-functional teams to implement process changes, ensuring smooth transitions and minimal disruption.
- Communicating with stakeholders to ensure alignment on proposed changes.
- Conducting process audits and evaluating the effectiveness of changes, gathering feedback for necessary adjustments.
- Creating process documentation and guidelines, including standard operating procedures and workflow diagrams.
- Providing training and support to team members on new processes and best practices.
- BBA or equivalent post-secondary education.
- 3+ years of experience in business process analysis and mapping or a related role in a customer service environment.
- Proven experience (2+ years) in process re-engineering, mapping, and customer journey mapping.
- PMP certification is preferred.
- Experience in the utility sector is advantageous.
- Strong analytical and problem-solving capabilities.
- Proficiency in process mapping and analysis tools (e.g., Visio, Excel, SQL, Tableau).
- Familiarity with process modeling and improvement methodologies (e.g., Six Sigma, Lean).
- Self-starter with excellent interpersonal and conflict resolution skills.
- Exceptional written and verbal communication skills.
- Able to build relationships and interact effectively in complex environments.
- Strong desire to understand operations and identify root causes of issues.
- Ability to manage multiple tasks and work under tight deadlines.
- Excellent organizational and time-management skills.
- Strong presentation abilities.
- Understanding of financial impacts and billing environments.
- Capability to prioritize deliverables and collaborate with various stakeholders.
- Flexibility to adapt to changing priorities.
- Extensive experience in handling multiple billing systems and exceptions management.
- Advanced knowledge of Microsoft Applications, particularly Excel and Access.
- Experience with Power BI and advanced Excel functionalities.
