We are currently seeking a Contracts Administration Specialist to become a vital part of our Legal and Contracts division.

The Contracts Administration Specialist is responsible for ensuring that contract protocols are effectively implemented, managed, and upheld in alignment with company policies and specific project needs.

Key Responsibilities:
  • Support project teams in addressing contractual issues
  • Facilitate compliance with contractual obligations by collaborating with project teams (e.g., Project Managers, Schedulers, Procurement, Technical Leads) to clarify the company's commitments and manage compliance-related challenges
  • Assist in developing and executing risk mitigation strategies, including drafting formal project communications
  • Review, draft, and negotiate agreements with end customers and suppliers
  • Collaborate with colleagues (e.g., Sales, Procurement) to establish contractual arrangements with customers and suppliers
  • Provide guidance on contractual frameworks and associated risks
  • Ensure that project delivery interests are prioritized and coordinate contributions from support functions (e.g., Finance, Insurance) with a focus on infrastructure and technology contracts
  • Oversee the contract change order process
  • Proactively ensure timely submission of change order requirements, including all necessary documentation
  • Manage claims effectively, including those related to out-of-scope work and time extensions, in collaboration with internal stakeholders
  • Engage in negotiations concerning claims
  • Evaluate key risks throughout the bid/project lifecycle
  • Work with project teams to contextualize risks and implement appropriate mitigation measures
  • Prepare and present reports to executive management
  • Regularly present key elements of contracts and bids to senior management, supported by written materials (e.g., Word, PowerPoint, Excel)
  • Conduct routine reporting to the Legal and Contracts Department
  • Manage formal dispute resolution processes
  • Oversee claim files as they progress through formal resolution channels (e.g., litigation, arbitration, mediation)
  • Collaborate with in-house and external legal counsel in developing claim files
Key Qualifications:
  • Post-graduate degree in law or substantial experience in contract management
  • 2-3 years of experience in administering, negotiating, and managing contracts in an international context
Preferred Skills:
  • Excellent interpersonal, communication, and negotiation abilities, with a capacity to handle challenging situations professionally
  • Familiarity with FIDIC/NEC contracts is advantageous
  • Engineering background is beneficial
  • Self-motivated and capable of working independently while being a collaborative team player
  • Understanding of company policies related to contracts, insurance, bonding, and risk management
  • Proficiency in additional languages is a plus
