Customer Service Representative

About the Role
The Customer Service Clerk will report to the Commercial Manager. This position interacts with customers to provide information in response to inquiries about products and services and to handle and resolve complaints. They will keep records of customer interactions, process customer accounts and file documents, and follow communication procedures, guidelines and policies.
Duties and Responsibilities
- Receiving and processing orders in the system.
- Handling inventory and managing stock levels.
- Invoicing orders shipped and managing customer accounts.
- Handling customer contracts and agreements.
- Investigating and resolving customer complaints and issues.
- Providing quotes for shipments and managing customer expectations.
- Greeting visitors and directing them to the appropriate supervisors.
- Answering incoming calls and responding to customer inquiries.
- Entering and scanning invoices into the system.
- Distributing mail and packages to staff and managing office supplies.
- Matching invoices to sales orders and managing inventory levels.
- Managing shipments and receipts on an Excel spreadsheet.
- Maintaining customer filing systems and updating records.
- Performing other miscellaneous administrative tasks as required.
Requirements
- Familiarity with Microsoft Office (Excel, Outlook, Word).
- Ability to multi-task, prioritize, and manage time effectively.
- Strong telephone contact management and active listening skills.
- Excellent written, verbal, and presentation skills in English and French.
Education and Experience
- High school diploma or equivalent.
- Proven experience in customer support or as a customer service representative.
