Are you looking for an exciting and dynamic position within the events department at a premier mountain resort? We are in search of a dedicated Meetings and Events Coordinator to enhance our Sales and Catering team. This role reports directly to the Manager of Conferences and Events and is responsible for the sales and reservation of conference facilities, as well as the coordination of services for various groups and organizations hosting meetings, conventions, and events at our resort.

Key Responsibilities

  • Event Planning and Coordination: Manage the sale and reservation of conference spaces while coordinating all necessary services for groups utilizing our facilities.
  • Client Liaison: Serve as the primary contact for assigned groups, collaborating with clients to create Banquet Event Orders and comprehensive Group Recaps.
  • Detail Management: Ensure all special requests, including Food and Beverage and Audio Visual needs, are accurately documented and confirmed.
  • Pre-Event Meetings: Conduct pre-conference discussions with clients and relevant departments to ensure seamless communication of all details.
  • Guest Services: Respond promptly and professionally to all guest inquiries and requirements.
  • Onsite Coordination: Act as a liaison between the hotel and groups, ensuring that meeting spaces are set up according to specifications and addressing any special requests.
  • Group Recaps: Prepare detailed recaps for each group, summarizing key information such as purpose, room allocations, rates, and special instructions.
  • Catering Management: Oversee all food and beverage arrangements for group events, assisting with menu selections and other details.
  • Problem Resolution: Address any unexpected issues that may arise to ensure successful event execution.
  • Billing Processes: Handle billing for groups to ensure accurate financial records post-event.
  • Revenue Development: Collaborate with other departments to create innovative revenue opportunities.
  • Performance Goals: Achieve monthly revenue targets for banquets as set by management.
  • Client Introductions: Welcome clients upon arrival and introduce them to key hotel personnel.
  • Communication: Relay last-minute changes in group functions to hotel staff and ensure effective follow-up.
  • Pre-Convention Planning: Organize and direct pre-convention meetings as requested by clients.

Relationship Building

  • Foster and maintain relationships with potential clients and the Sun Peaks Resort Mountain Team to facilitate future bookings through networking efforts.
  • Support the sales team in acquiring new business opportunities.
  • Enhance customer loyalty by delivering exceptional service throughout each interaction.
  • Collaborate with the property team to ensure unified efforts towards common goals.
  • Participate in departmental and hotel meetings as required.
  • Engage with the local community to expand the client base for sales opportunities.
