Position Summary

The Retail Lease Coordinator will play a vital role in managing the occupancy costs associated with our diverse portfolio of retail locations. Reporting to the National Portfolio Manager, this position focuses on minimizing occupancy expenses and maximizing revenue opportunities through meticulous analysis and reporting.

Key Responsibilities

  1. Conduct thorough audits of landlord year-end reconciliations to ensure compliance with lease agreements and identify any discrepancies.
  2. Review and process annual Rental Advice Notices (RAN) from landlords, ensuring accuracy and timeliness.
  3. Analyze Monthly Rent Variance reports, providing insights on significant changes in rental costs.
  4. Prioritize and monitor the processing of outstanding reconciliations and RANs to ensure timely resolution.
  5. Address landlord payment inquiries with professionalism and accuracy.
  6. Maintain and update the Lucernex contracts module, ensuring a centralized filing system for all documentation.
  7. Where applicable, process Tenant RAN and REC billings to optimize tenant income within the portfolio.
  8. Participate in special projects and additional duties as required.

Qualifications

The ideal candidate will possess:

  • A minimum of 2 years of experience in lease administration or occupancy cost auditing, preferably within a retail environment.
  • Post-secondary education in a relevant field or equivalent experience. An accounting designation or accredited commercial real estate designation is an asset.
  • Strong analytical skills with the ability to interpret lease agreements and occupancy cost statements.
  • Excellent verbal and written communication skills, with a proven ability to build and maintain relationships with landlords and internal stakeholders.
  • Proficiency in MS Office applications and lease administration systems; experience with Lucernex Contracts module and Peoplesoft financials is advantageous.
  • Demonstrated problem-solving abilities and strong organizational skills, with the capacity to manage multiple priorities effectively.
  • A proactive approach, exercising sound judgment and creativity in addressing departmental needs.
  • Commitment to confidentiality and discretion in handling sensitive information.
