Clinical Coordinator - Mental Health Services
Location: Ottawa, ON (On-site)
Salary: $83,000- $98,000, commensurate with experience
Position Summary
The Clinical Coordinator oversees the daily operation, clinical oversight, staffing, and administrative needs of a residential youth mental health program. This includes providing leadership to staff, supervising clinical activities, ensuring program quality, and maintaining compliance with organizational policies and sector standards.
Key Responsibilities
Staff & Program Leadership
- Lead recruitment, onboarding, supervision, evaluation, and training of program staff and placement students.
- Provide regular individual and group supervision, along with clinical consultation.
- Oversee client files and ensure clinical documentation meets agency and sector standards.
- Complete annual performance reviews and work plans for assigned team members.
- Ensure smooth daily program operations, including scheduling, delegation of tasks, and program consistency.
- Facilitate staff meetings, case reviews, and team huddles.
- Prepare staff schedules and ensure adequate coverage.
- Coordinate program initiatives and project activities as assigned.
- Participate in and/or deliver public education sessions regarding youth mental health.
- Collaborate with internal programs and external community agencies.
- Support quality assurance reviews, program evaluation activities, and research projects when required.
- Ensure compliance with organizational policies, health and safety procedures, collective agreements (if applicable), and relevant legislation.
- Participate in the on-call rotation.
- Coordinate the distribution of program information to families and community partners.
Clinical & Client Services
- Oversee case management, treatment planning, and transition plans for youth in care.
- Provide direct clinical services when necessary, including assessments, treatment planning, and transition support.
- Provide emergency coverage when urgent staffing needs arise.
- Ensure completion of incident reports, safety documentation, and follow-up protocols.
- Address and follow up on client and family concerns.
- Lead client case review meetings and multidisciplinary discussions.
- Coordinate referrals and collaborate with community and clinical partners involved in client care.
- Oversee risk assessments and ensure that individualized safety plans are implemented and followed.
Administration & Operations
- Ensure timely completion of administrative tasks including schedules, shift summaries, payroll submissions, and time-off approvals.
- Prepare required reports, statistics, and documentation for leadership and funders.
- Maintain accurate and up-to-date electronic and physical records.
- Participate in staff selection with Human Resources.
- Support budget monitoring and accountability for program expenditures.
- Assist with preparations for accreditation, compliance reviews, and inspections.
- Manage petty cash, program supplies, and operational inventory.
- Oversee maintenance of program facilities and equipment.
- Maintain and update program policies and procedures in collaboration with leadership.
Qualifications
- Master’s Degree in Social Work or related field, with registration in good standing with a regulatory college authorized to practice the Controlled Act of Psychotherapy.
- Minimum 5 years of clinical experience supporting youth with mental health challenges.
- Minimum 2 years of supervisory experience in a related mental health or residential treatment setting.
- Training or eligibility for certification in clinical supervision through the relevant regulatory college.
- Strong leadership skills within an interdisciplinary team environment.
- Knowledge of youth mental health systems, community resources, and sector standards.
- Strong decision-making, problem-solving, and organizational skills.
- Excellent written and verbal communication skills in both English and French.
- Ability to work flexible hours, including evenings and on-call responsibilities.
- Computer proficiency (e.g., Outlook, PowerPoint).
- Access to a vehicle.
Additional Requirements
- Vulnerable Sector Check completed within the last six months.
- Candidates may be required to complete third-party language assessments.
