Executive Assistant to the President

The Executive Assistant to the President plans and coordinates all office administrative duties in support of the President and Vice‑President and aid in all aspects of planning and delivery of all day to day functions of the CHN Executive. The EA creates and manages information systems, tracks documentation, creates and tracks action items, and assists with financial controls and staff assignments.
KEY DUTIES & RESPONSIBILITIES
- Ensure that reports, data, records, minutes and other information are maintained, filed and organized.
- Provide budget and finance assistance, set up and maintain systems to track and manage financial data, organize and produce financial reports for budget compliance.
- Draft reports and briefing notes as directed, assembling materials and reports as needed.
- Provide administrative support as required.
- Coordinate meetings including scheduling, minutes, and physical needs.
- May supervise staff to coordinate work, provide direction, ensure timely completion of tasks and workflow monitoring.
- Track, assist, and implement relevant departmental timelines and schedules.
- Ensure systems are in place to maintain confidentiality.
- Other related duties as assigned.
QUALIFICATIONS
- At least five years of experience working in a fast paced setting, with proficiency in Office 365.
- Excellent transcription, written and verbal communication skills.
- Excellent organizational, coordination and time management skills.
- Experienced in managing information systems, detail orientated.
- Experienced in operating at a professional, confidential level as part of a team.
- Formal office training is an asset or an equivalent combination of education, training and ability.
- Class 5 driver’s license.
$32.28 - $36.31 per hour based on experience, Full-time 35 hrs per week
