Working hours: 37.5h, 220 days/year for independent

Remuneration: between 46,000 and 48,000 CAD gross annual (for a salaried contract), and between 140 and 170 USD/day (for an independent contract), depending on experience

Benefits: annual bonus based on collective performance, and for a salaried contract, 50% of group insurance covered after 3 months of employment, 3 days of remote work per week, and a remote work policy abroad

ROLE OF THE ADMINISTRATIVE ASSISTANT

Under the supervision of the Business Development Director, the Administrative Assistant supports Project Managers in responding to qualitative calls for tenders, and in the administrative management of contracts. He or she also actively participates in information management at Baastel, by updating databases and improving internal tools.

More specifically, he or she is responsible for:

- Optimizing the management of project and consultant-related information by preparing the necessary administrative documents and proactively updating databases.

- Supporting Project Managers in business development by preparing the administrative aspects of project proposals.

- Ensuring effective administrative management of projects by managing the administrative launch of projects, tracking billing and expenses, and participating in the project closure process.

QUALIFICATIONS REQUIRED

- Degree in administration, secretarial studies, or management — ideally a bachelor’s degree.

- 1 to 3 years of experience in administrative management, executive assistance, or a similar role.

- Previous experience in administrative project management would be an asset.

- Proficiency in English and French, both written and spoken.

- Proficiency in Office software: Word formatting, good knowledge of Excel (formulas, formatting, and tracking).

- Comfortable with numbers.

- Strong organizational skills.

- Excellent workload management, prioritization, and meeting deadlines.

- Great attention to detail.

- Autonomy, versatility, and initiative.
