Responsibilities

- Provide administrative support such as arrange travel, schedule conference calls, meetings and maintain notes, as needed
- Manage travel vendor relationship and serve as the principal point of contact for all administrative team support needs
- Coordinate agenda and priorities for the weekly Finance/Operations team meeting; follow up on assigned tasks
- Assist in preparing and submitting expense reports for the CFO and Finance Operations team
- Provide ad hoc support to the team such as editing, proof reading, data entry/retrieval, etc.
- Assist the A/P process with vendor/wire verification and occasionally provide backup coverage
- Leverage technical capabilities to provide comprehensive support for ad hoc projects such as research, benchmarking and automation initiatives
- Assist in the preparation and assembly of presentations
- Coordinate and facilitate workshops and team-building events
- Assist with finance training workshops and other admin onboarding
- CRM database entry and maintenance, general filing, mail sorting, photocopying
- Provide general office support and coverage duties as required
- Occasional overtime may be required to support and ensure timely completion of priorities

Qualifications

- Minimum of 2-3 years of related administrative support experience; financial services or accounting knowledge considered an asset
- Post-secondary education in Office Administration or Business Administration considered an asset
- Ability to be involved in sensitive and confidential matters related to daily operations
- High degree of proficiency with computer software tools including Microsoft Office (Word, Excel, PowerPoint, Outlook, Visio)
- Familiarity with ERP systems and AI is considered beneficial and a willingness to quickly adapt to new applications and processes
- Ability to work under tight deadlines, well-organized with attention to detail and an ability to deal with multiple priorities
- Strong self-starter with good organizational and time-management skills
- Demonstrates outstanding teamwork and possesses exceptional communication skills, consistently fostering a collaborative and positive workplace atmosphere
