Job Description: Office Administrator Location: Toronto, ON, Canada Position Overview: We are looking for a proactive, motivated, and entrepreneurial Office Administrator to join our growing office in Toronto. This role will play a key part in managing administrative tasks and supporting various departments, contributing directly to the growth and efficiency of our local operations. Key Responsibilities: - Responsible for daily administrative tasks, including receiving and tracking invoices to ensure proper distribution and recording. - Maintain effective communication and coordination with service and product providers. - Support payroll processes, including gathering necessary information and collaborating with the HR team. - Participate in onboarding and offboarding processes, ensuring smooth experience for new hires and departing employees. - Maintain confidential HR and compliance records in line with data protection and company policy - Ensure compliance with internal policies and local regulations. - Provide administrative support to the HR team and coordinate with IT for technology-related needs. - Work with HR when required to coordinate interviews with candidates - Support the execution of office activities and events, ensuring smooth operations and successful coordination. - Coordinate client & senior leadership visits, including planning, logistics, and hospitality arrangements to create a positive experience. - Monitor and track local regulatory deadlines, ensuring timely submissions and reporting - Support internal and external audits by collating evidence, coordinating responses, and ensuring records are up to date Qualifications: - Bachelor’s degree in business administration, Human Resources, Finance, or a related field from an accredited university is preferred but not required. Equivalent work experience in administrative roles will also be considered. - Previous experience in administrative roles, preferably in dynamic environments or growing offices. - Ability to work independently with a proactive, problem-solving mindset. - Strong organizational, communication, and attention-to-detail skills. - Knowledge of invoice and vendor management. - Experience in HR-related tasks and administrative management systems. - Positive attitude, team-oriented, and a "skin in the game" mindset to contribute to the office's growth.
