**FOOD & BEVERAGE ADMINISTRATIVE COORDINATOR - Full Time**
**Why Deerhurst Resort?**
**Position Summary**
The Food and Beverage department generates over $10 million in food and beverage sales accommodating over 300,000 guests a year in our restaurants and banquet facilities. The Food and Beverage Administrative Coordinator is a key support to the Director of Food & Beverage / Executive Chef / Manager of Food and Beverage and the teams they manage in the day-to-day operations of the Food and Beverage department.
**Duties and Responsibilities**:
**Daily**
- Approve payroll in ADP our payroll management program
- Process invoices in Food Purchase Control Spreadsheet
- Process invoices in Beverage Purchase Control Spreadsheet
- Answer general inquiries to the Conference Services Department
- Distribute Banquet Event Order revisions to ensure kitchen is up to date with new information
- Input Banquet Event Order server gratuities to spreadsheet and submit to accounting
**Weekly**
- Build weekly schedule template for restaurant outlets & banquet department under the guidance of Food and Beverage manager
- Input final schedule into ADP for front of the house restaurants and banquets
- Print and distribute copies of Banquet Event Orders (BEOs) to kitchen
- Attend weekly BEO meetings
- Communicate and post schedules to staff
- Maintain communication boards
- Order coffee supplies for Row Roast Coffee Shop
**Monthly**
- Assist with month end food and beverage inventory count and calculations
- Reconcile food purchase control spreadsheet and beverage control spreadsheet for month end
- Update - review crash kit inventory for all outlets - banquet department
- Update monthly inventory spreadsheets to reflect most current food and beverage invoice values
**Ongoing**
- Assist in all F & B printing needs including food labels, group menus, outlet menus etc.
- Manage “request for days off” by front of the house staff members
- Manage - update department coding of staff for accurate ADP allocations
- Administrate Spendwise purchasing for all front of the house items other than fuel, chemicals, kitchen supplies and food (at this time)
- Maintain Music invoices in Spendwise and keep Music Budget Spreadsheet up to date
- Research equipment - products for the F & B director to better our F & B overall offering to our groups and guests alike
- Other administrative functions as required
