- Some post-secondary education, diploma, or certificate in business, administration, psychology, medical office assistant, or equivalent educational training and experience
- 2+ years work experience in a health care setting involving customer service and client/patient care.
- Psychology education and familiarity with mental health and DSM-5 terminology are assets
- Experience and high level proficiency with the JaneApp software
- Experience and high level of proficiency with Google Workspace, Microsoft Word, Microsoft Excel, Canva, Squarespace
- Must be able to multitask, stay organized, work with many moving parts and small details, deliver excellent quality, and have excellent time management
- Strong ability to work independently as well part of a team in helping and collaborating with others
- Ability to build strong relationships with clients and staff
- Ability to prioritize, take initiative, and be flexible
- Strong interpersonal skills, problem solving and identification, proactive, sound judgment and assessment of various scenarios
- Intuitive and sensitive to context, with the ability to work under pressure, desescalate, and react effectively to dynamic situations
- Willingness to work with a culturally diverse population is required
- Strict adherence to company and client confidentiality when handling sensitive information, personal health information, and company materials
- **Must be reliable and committed**. We are a small administrative team and frequent absences impact our daily operations significantly.
- Contributes to the efficiency of day-to-day activities and duties (virtually and in-person when needed) of the clinics
- Coordinates, monitors, assigns and documents client and clinical care activities
- Makes effective and timely client-counsellor pairings while managing, tracking, and following up on new client referrals.
- Providing a welcoming and seamless client experience
- Acts as a liaison between clients, client families, clinical counsellors, and administration
- Booking client appointments, following up with clients, liaising between counsellors and administration when necessary
- Collects, uploads, and updates client consent paperwork and documentation
- Collects and inputs client data, insurance information and financial information into JaneApp
- Ensures efficient billing and maintenance with JaneApp, managing accounts receivable, prepares reports as needed, invoices third-party insurers and organizations
- Updates and maintains company documents and client communication scripts
- Project development, implementation, execution, and evaluation (community engagement projects, advertising projects, etc.)
- Office maintenance, supplying ordering, checking the mail
- Works to create efficient systems and workflows within the clinic
- Mastermind ways to improve the quality of client care provided by our company
- Attends staff meetings and stays up-to-date on business initiatives related to the clinics
- Assists with staffing processes and procedures (e.g., onboarding preparations, training, etc.)
- Assists with social media content creation, posting, and online presence
- Updates the company website as directed
- Other clinical and administrative duties as assigned. The list of responsibilities is not meant to be exhaustive and may change/evolve periodically to suit the company's growth and needs.

**Salary**: $20.00-$22.00 per hour
