**Working for the Department/Faculty**

The Postgraduate Medical Education Office within the Faculty of Medicine and Dentistry, College of Health Sciences, is responsible for the administration of over 950 trainees in over 60 accredited training programs within the Faculty of Medicine and Dentistry in the College of Health Sciences. Each of these high-quality clinical training programs is accredited by the Royal College of Physician and Surgeons of Canada (RCPSC) or the College of Family Physicians of Canada (CFPC). PGME’s mission is to produce competent, caring physicians who will meet the needs of society, and through research training will contribute to the development of new knowledge.

**Position**

Interested in medical education and want to join a dynamic collaborative team? The PGME Administrator for the Fellow and Clinician Investigator Program (CIP) collaborates closely with the PGME Fellows Administrator and supports postgraduate fellow trainees and applicant’s registration activities and their admission/appointment process. This position additionally develops, coordinates, maintains, and supports the medical education administrative activities for the Royal College of Physicians and Surgeons of Canada’s CIP accredited residency program. Under mínimal supervision and through the direction of the Manager, in collaboration with the Fellowship Director, Associate Dean, Team Lead and PGME Office staff this position requires a high level of communication, organizational and interpersonal skills. We are looking for applicants who can take initiative, have strong decision-making skills, and who will thrive in a highly demanding and fast-paced environment. Please note this position does require after hours meetings, typically four per year. One year of on-the-job training is required to learn the essential skills for this position.

**Duties**
- Creates, writes and collates information for the Fellowship Newsletter with Campaign Monitor software for educational supervisors, directors and administrators
- Organizes, attends, minutes and Fellowship Education Committee and Residency Program Committee meetings, follows up on any action items
- Facilitates requests from programs for trainees leaves of absences, remediation or learning plans
- Administers trainee evaluation process, ensures follow-up on incomplete assessments
- Closes and archives graduate's files
- Participates in, and assists with, the annual trainee PGME Orientation
- Works as a team player in the PGME Office and assists others as required

**Minimum Qualifications**
- Undergraduate degree in a relevant discipline preferred; minimum, post-secondary office administration diploma. Equivalent combination of education and experience will be considered.
- Five (5) years of increasingly responsible administrative experience
- Advanced experience with Google Suite (Mail, Drive, Docs, Sites, Calendar, Forms, Slides, Sheets, Meet)
- Excellent interpersonal skills with the ability to interact and work with diverse individuals and organizations
- Exceptional written and oral communication, editorial and proofreading skills; experience taking minutes
