**About the role**
The Pavilion Receptionists will be the first point of contact for guests. They will play a vital role in providing exemplary services tailored to visitors, dignitaries, and guests at the Canada Pavilion. Additionally, they will provide administrative support to the Canada Pavilion Team. The Receptionists will work alongside security personnel and be located at the Pavilion entrance (Staff and Guests) and by the Senior Management Offices.
We are looking for individuals who will proudly represent Canada in Japan and who will contribute to and lead a diverse and inclusive front-line team that conveys Canada's warmth, openness and optimism. The Receptionists will be based in Osaka. The assignment is expected to commence April 1st, 2025 and run until October 15th, 2025.
**Responsibilities**:
- Welcoming visitors/guests as they arrive at the main reception of the Canada Pavilion;
- Answering the telephone, redirecting calls, taking messages, and ensuring that messages are delivered to the appropriate person promptly;
- Answering general inquiries;
- Keeping informed of daily schedule of special visits (easy access) by VIP visitors, entering information on VIP visitors into the Reservation Log;
- Assisting other staff in the organization of special events;
- Assisting guests to gain easy access to another Pavilion when feasible;
- Tracking and relaying visitor and guest comments, questions and participating in daily debrief sessions to provide feedback and recommendations to ensure continually positive experience;
- Reporting any lost and found items, malfunctions, or the need for intervention by the cleaning staff;
- Completing all assigned tasks in a professional manner with an eye towards Canada's image;
- Helping in emergency situations, if necessary and on the orders of Security Supervisor / Pavilion Management.
**Requirements**:
- Completion of three years post-secondary education or an equivalent combination of education and experience in areas such as administration, communications, public relations, tourism and hotel management;
- Must be a Canadian citizen with a valid Canadian passport or Japanese citizen;
- Receptionists must be fluent in English, French and Japanese N1/N2;
- Knowledge of additional languages like Mandarin and Korean is an asset.
**Experience**:
- Experience working as a receptionist or a similar role;
- Extensive experience working in a field similar to expositions in events, hospitality or at a visitor attraction (Museums, theme parks, etc.);
- Extensive experience in dealing with the public. Experience interacting with senior officials and dignitaries is an asset;
- Experience in office management and procedures and working with computers and various software;
- General knowledge of Canadian history, geography, culture and political environment;
- General knowledge of Japan and its culture and Canadian-Japanese relations.
**Skills**:
- Strong verbal and written communications skills;
- Organized and detail-oriented;
- Friendly, approachable, and service-oriented attitude;
- Ability to work in a fast-paced, multi-tasking environment;
- The ability to administer First Aid is an asset.
**Conditions Of Work**:
- Fixed term contract;
- Must be available to work from April 1st, 2025 to October 15th, 2025;
- There will be no vacation leave granted during this period;
- Must wear a uniform when on duty;
- Working hours: 8 hours/day between 9am to 9pm, based on a 7 day a week operation on a rotational shift pattern. (Personnel must be on duty thirty minutes before and thirty minutes after opening hours.);
- Overtime: Will be paid for work beyond 40 hours per week.
- There will be a certain amount of interchangeability between Hosting, Protocol and Receptionist personnel duties.
