Why is this role important?- What you'll do
- 1. Operates the MS Teams virtual switchboard, directing all incoming calls to appropriate staff, as well as providing additional information when appropriate.- 3. Receives and announces visitors and delivery services.
- 4. Implements and maintains electronic processes in support of CIHI’s physical security, including registering all visitors, issuing and retrieving visitor and contractor access cards, ensuring applicable documents are signed and maintaining records in accordance with ISO audit requirements.
- 5. Provides support for Distribution Services with sorting and filing of incoming mail, including assisting with processing incoming cheques. Assists with mass mail-outs by preparing labels, preparing packages and other related tasks (as required)
- 6. Provides administrative support to the Corporate Administration team, such as scheduling meetings, drafting correspondence as well as data entry and validation.
- 7. Works closely with other receptionist(s) to ensure consistency and coverage between the Ottawa and Toronto Reception Desk.
- 8. Develops and maintains resource log, instruction book and contact lists for the Reception Desk.
- 9. Provides reception training to other employees providing temporary coverage.
- 10. Other related duties as required.
- What you'll bring to the table
- High school diploma, with additional post-secondary education in a related field preferred.
- 2 - 3 years related experience.
- Experience in using Microsoft 365 (e.g. Teams, Outlook, Word, Excel, PowerPoint) or other productivity software.
- Excellent data entry skills with keen sense of detail.
- Excellent communication and interpersonal skills with an aptitude for providing superior customer service.
- Strong organizational skills with ability to multi-task.
- Demonstrated professionalism at all times.
- Ability to work independently, seeking advice/support as appropriate.
- Fluency in both official languages is required.
