**Principle Duties & Responsibilities**:
Progressively learn and provide direct administrative support to the Corporate Services Department by way of:
- preparing and filing of annual notices and annual returns with Alberta Registry;
- preparing and uploading documentation to the ALF database including data entry and maintenance of company information, as required;
- updating ledgers and corporate status, as required;
- preparing share certificates, as required;
- organizing, reviewing and auditing materials for corporate records including but not limited to scanned and digitized minute books;
- taking instructions from the corporate services department, internal and external clients, obtaining information and providing status reports, minute book updates and accounting support documentation as required;
- assisting with due diligence, updating minute books and other matters in connection with corporate transactions; and
- organize and maintain physical and digital systems that support efficient and effective management of all client communications, record-keeping, time management and client/document files, including the redirection of correspondence where appropriate.
- Assist with monthly billing projects;
- engage in team support when appropriate and necessary; and
- other duties or projects, as assigned.
**Qualifications**:
- Legal Assistant diploma or Administrative Assistant diploma from an accredited college considered an asset.
- CORES Level 1 or the desire to obtain this certification within the next 6 months.
- A minimum of two (2) years of administrative assistant experience; preferably in the legal industry.
- Background in Corporate and/or Business law is considered an asset.
- Experience with ALF/CORES considered an asset
- Experience with iManage and/or Intapp Open considered an asset
- Proficiency in MS Office with a high level of overall technical ability
- Strong interpersonal and communication skills (both written and verbal)
- Exceptional attention to detail and proofreading ability
- Ability to handle multiple competing and urgent deadlines
- Ability to work independently in a fast-paced, team-oriented environment.
- Professional, accountable, responsive, and proactive.
