**Role Summary**

**Role Responsibilities**
- Maintain ongoing tracking and appropriate documentation on referrals to promote team awareness and ensure patient safety.
- Review referrals from referring physicians, ensuring all necessary information is included.
- Collaborate with the clinic’s medical team to determine appropriate appointment scheduling based on patient needs and physician availability.
- Communicate with patients to schedule appointments, considering their preferences and urgency of care.
- Utilize the clinic's appointment scheduling system to book appointments accurately and efficiently.
- Coordinate with other clinic departments to arrange any additional tests or procedures required before the appointment. (Will be done if requested by the treating physician)
- Update referral tracking sheet with the appointments.
- Send back the declined referrals and document on referral sheet
- Notify designated doctors about scheduled appointments, providing relevant patient information and any specific requirements.
- Maintain accurate and up-to-date records of referrals, appointments, and patient information in the clinic's database or electronic medical record system.
- Collaborate with other clinic staff to ensure smooth workflow and efficient patient care.

**Required Qualifications**

**Formal Education or Equivalent**
- High school diploma, combined with medical assistant certification
- Previous experience in a healthcare setting, preferably in referral coordination or patient scheduling.

**Years of Experience**
- 3+ Years experience

**Competencies**
- Familiarity with medical terminology and understanding of fertility and gynecological procedures is advantageous.
- Excellent organizational and time management skills with the ability to prioritize tasks effectively.
- Strong attention to detail to ensure accurate documentation and information handling.
- Outstanding communication skills, both written and verbal, to interact with patients, doctors, and other clinic staff.

The responsibilities shall be defined and modified from time to time based on the requirements of the company.
